Terms & Conditions
These Terms & Conditions govern travel planning and booking services provided by Nourish Your Life, LLC, doing business as Kay Jones Travel ("Kay Jones Travel," "we," "us," or "our"). By engaging Kay Jones Travel to plan or book travel, submitting payment for planning services, authorizing a travel booking, or otherwise using our travel advisory services, you ("Client," "Traveler," "you," or "your") acknowledge and agree to these Terms & Conditions.
Kay Jones Travel is independently owned and operated by Nourish Your Life, LLC. Kay Jones operates as an independent travel advisor affiliated with Fora Travel, a Virtuoso agency.
1. Travel Advisory Services
Kay Jones Travel provides professional travel planning, advisory, and booking services. Depending on the service selected, these services may include destination research, accommodation recommendations and reservations, cruises, tours, transportation, activities, itinerary design, group travel coordination, retreat planning, and other travel-related arrangements.
The specific scope of services will be communicated before planning begins and may be further defined in a proposal, service agreement, invoice, itinerary, or other written communication.
Clients must be at least 18 years old to engage Kay Jones Travel and must have the legal authority to make travel arrangements for themselves and any travelers on whose behalf they are acting.
2. Independent Travel Suppliers
Kay Jones Travel acts as an advisor and booking agent for independent travel suppliers, which may include hotels and resorts, airlines, cruise lines, tour operators, destination management companies, transportation providers, excursion operators, vacation rental providers, travel insurance companies, and other travel-related businesses ("Suppliers").
Kay Jones Travel does not own, operate, manage, or control these Suppliers and is not the source or provider of the travel services they provide.
Each Supplier maintains its own terms and conditions, including policies regarding deposits, final payments, cancellations, refunds, changes, credits, baggage, check-in, and other matters. By authorizing a reservation, you agree to comply with the applicable Supplier's terms and conditions.
Kay Jones Travel is not responsible for the acts, omissions, errors, delays, cancellations, schedule changes, service failures, bankruptcy, or other actions of independent Suppliers.
3. Planning & Professional Service Fees
Certain Kay Jones Travel services require a professional planning or service fee.
Any applicable fee and the scope of services included will be communicated before work begins.
Planning and professional service fees compensate Kay Jones Travel for professional expertise, research, consultation, itinerary development, coordination, and other advisory services. Unless otherwise stated in writing, these fees are non-refundable once planning work has begun.
Planning fees are separate from the cost of accommodations, transportation, cruises, tours, activities, insurance, and other travel products purchased from Suppliers.
Additional fees may apply if the scope of the trip changes substantially after planning has begun, including significant changes to the destination, travel dates, number of travelers, or requested services. Any additional fee will be communicated before additional work is performed.
4. Pricing, Availability & Reservations
Travel pricing and availability are subject to change until a reservation has been confirmed and any required payment has been received by the applicable Supplier.
Quotes may include taxes and fees when available, but Supplier-imposed fees, resort fees, local taxes, foreign transaction fees, currency fluctuations, or other charges may apply.
Kay Jones Travel cannot guarantee pricing or availability until a Supplier confirms the reservation.
We reserve the right to correct pricing, typographical, or other inadvertent errors in proposals, itineraries, quotes, or communications.
5. Payments, Deposits & Final Balances
Deposit amounts, payment schedules, final payment dates, and accepted forms of payment vary by Supplier and reservation.
Clients are responsible for making all required payments by the deadlines provided. Failure to make payment when due may result in cancellation of a reservation and loss of amounts previously paid, subject to the Supplier's terms.
Travel payments are generally processed by the applicable Supplier or authorized booking platform. Kay Jones Travel does not determine Supplier payment, refund, or cancellation policies.
By providing payment authorization, you authorize the applicable travel charges described in your proposal, invoice, itinerary, authorization form, or other booking documentation.
6. Cancellations, Changes & Refunds
All travel reservations are subject to the cancellation and change policies of the applicable Supplier.
Cancellation penalties may range from partial loss of payments to 100% of the reservation cost. Certain reservations, rates, tickets, packages, or services may be non-refundable from the time of booking.
All cancellation or change requests should be submitted to Kay Jones Travel in writing.
When possible, we will assist with requested changes or cancellations; however, Kay Jones Travel cannot guarantee that a Supplier will permit a change, provide a refund, issue a future travel credit, or waive a penalty.
Any refund or travel credit is subject to the Supplier's policies and processing timelines.
Kay Jones Travel is not responsible for costs associated with travel arrangements made independently by the Client, including flights, hotels, transportation, tours, or other services not booked through Kay Jones Travel.
7. Traveler Information & Review of Documents
Clients are responsible for providing complete and accurate traveler information, including legal names, dates of birth, contact information, and any other information required to complete reservations.
Traveler names must match the identification or passport that will be used for travel.
Upon receiving booking confirmations, tickets, itineraries, or other travel documents, Clients are responsible for reviewing all information promptly and notifying Kay Jones Travel immediately of any errors or discrepancies.
Kay Jones Travel is not responsible for costs, penalties, denied boarding, missed travel, or other consequences resulting from inaccurate information provided by the Client or the Client's failure to review travel documents in a timely manner.
8. Passports, Visas & Entry Requirements
Each traveler is responsible for obtaining and carrying all documentation required for travel, including passports, visas, identification, permits, vaccination documentation, parental consent forms for minors, and any other required documentation.
Passport validity and entry requirements vary by destination and may change without notice. Some countries require passports to remain valid for a specified period beyond the travel dates.
Travelers are responsible for verifying current entry, transit, and exit requirements applicable to their citizenship, passport, destination, and itinerary.
Kay Jones Travel may provide general travel information or links to government resources as a convenience but does not guarantee the accuracy or continued validity of government entry requirements and is not responsible if a traveler is denied boarding or entry because required documentation has not been obtained.
9. Health, Safety & Travel Advisories
Travel involves inherent risks, and conditions at destinations can change before or during travel.
Clients are responsible for reviewing applicable health information, destination advisories, safety guidance, vaccination requirements, and other governmental recommendations relevant to their itinerary.
Travelers should consult qualified medical professionals regarding personal health concerns, medications, vaccinations, accessibility needs, or fitness for travel.
Kay Jones Travel does not provide medical, legal, immigration, or health advice.
10. Travel Insurance
Travel insurance is strongly recommended for all travelers.
Depending on the policy selected, travel insurance may provide coverage for circumstances such as trip cancellation or interruption, medical emergencies, emergency evacuation, travel delays, missed connections, baggage loss or delay, or other covered events.
Travel insurance is not automatically included unless specifically stated.
Coverage varies significantly by policy. Clients are responsible for reviewing policy terms, coverage limits, exclusions, eligibility requirements, and deadlines before purchasing.
Kay Jones Travel does not guarantee that an insurance provider will approve a claim or that a particular circumstance will be covered.
If you choose not to purchase recommended travel insurance, you accept the financial risks associated with cancellation, interruption, medical emergencies, delays, Supplier default, and other circumstances that may affect your trip.
11. Air Travel
Airline schedules, routes, equipment, seat assignments, baggage policies, and fares are controlled by the airline and may change without notice.
An airline ticket constitutes an agreement between the traveler and the airline. Kay Jones Travel is not responsible for airline schedule changes, cancellations, delays, missed connections, baggage issues, seat changes, or other airline actions outside our control.
Travelers are responsible for monitoring flight schedules and completing required airline check-in procedures.
When a Client independently books airfare or other transportation, the Client assumes responsibility for coordinating those arrangements with the remainder of the itinerary and for any costs resulting from schedule changes, cancellations, delays, or missed connections.
12. Travel Disruptions & Force Majeure
Kay Jones Travel is not responsible for delays, cancellations, losses, damages, or additional expenses resulting from circumstances beyond our reasonable control, including but not limited to severe weather, hurricanes, natural disasters, fires, floods, volcanic activity, epidemics or pandemics, acts of government, travel restrictions, strikes, civil unrest, terrorism, war, supplier failure, transportation disruptions, or other unforeseen events.
If such an event affects your travel, Kay Jones Travel will make reasonable efforts to assist with available alternatives; however, refunds, credits, rebooking options, and other remedies remain subject to the policies of the applicable Suppliers.
Any additional costs resulting from a disruption are the responsibility of the traveler unless covered by the Supplier or an applicable travel insurance policy.
13. Limitation of Responsibility
Kay Jones Travel exercises reasonable care in selecting and recommending travel Suppliers but does not control their operations.
To the fullest extent permitted by law, Nourish Your Life, LLC d/b/a Kay Jones Travel shall not be responsible for injury, death, property damage, loss, delay, inconvenience, additional expense, disappointment, or other damages resulting from the acts or omissions of independent Suppliers or circumstances outside our reasonable control.
Travelers voluntarily assume the ordinary and inherent risks associated with travel and participation in travel-related activities.
Nothing in these Terms is intended to waive rights or remedies that cannot legally be waived under applicable law.
14. Traveler Conduct & Personal Responsibility
Travelers are responsible for complying with the laws, regulations, customs, rules, and Supplier policies applicable to their destinations and travel arrangements.
Travelers are responsible for their own personal belongings and for any damage, loss, fines, or expenses caused by their actions.
Suppliers may refuse service or remove a traveler whose conduct violates applicable rules or materially disrupts the experience of others. Kay Jones Travel is not responsible for costs resulting from such actions.
15. Groups, Retreats & Hosted Experiences
Private group travel, retreat planning, hosted retreats, and other specialized travel experiences may be governed by an additional written agreement containing terms specific to that experience.
Where a separate agreement applies, its terms will govern matters specific to that program, including payment schedules, cancellations, participant requirements, inclusions, room arrangements, transfers, media permissions, and other program-specific policies.
The terms presented on an individual proposal, booking confirmation, or Supplier reservation also remain applicable.
In the event of a direct conflict concerning a program-specific matter, the applicable signed agreement will control.
16. Website Information & Third-Party Links
Information provided on the Kay Jones Travel website, blog, newsletters, social media, destination guides, and other general communications is provided for informational and inspirational purposes.
Travel information, prices, operating schedules, entry requirements, amenities, and destination conditions can change.
Our website may contain links to third-party websites. Kay Jones Travel does not control and is not responsible for the content, security, privacy practices, availability, or accuracy of third-party websites.
17. Intellectual Property
Unless otherwise indicated, original website copy, articles, guides, itineraries, graphics, photographs owned by Kay Jones Travel, and other original content are the property of Nourish Your Life, LLC and may not be reproduced, distributed, republished, or used commercially without written permission.
Third-party trademarks, photographs, logos, and other intellectual property remain the property of their respective owners.
18. Changes to These Terms
Kay Jones Travel may update these Terms & Conditions periodically to reflect changes in our services, business practices, Supplier requirements, or applicable laws.
The version posted on our website will display the date of the most recent update.
Changes will apply prospectively unless otherwise required by law. Terms applicable to an existing confirmed booking or signed service agreement will remain subject to the documents governing that booking.
19. Governing Law & Dispute Resolution
These Terms & Conditions shall be governed by and construed in accordance with the laws of the State of Florida, without regard to conflict-of-law principles.
Any dispute arising from Kay Jones Travel's professional services that cannot be resolved informally shall be handled in accordance with any dispute-resolution provision contained in the applicable signed Client agreement.
Where no separate signed agreement applies, the parties agree to attempt in good faith to resolve the dispute before initiating formal legal proceedings.
20. Fora Travel Affiliation & Seller of Travel Disclosure
Kay Jones Travel is independently owned and operated by Nourish Your Life, LLC. Kay Jones operates as an independent travel advisor affiliated with Fora Travel, a Virtuoso agency.
Travel bookings are made through Fora Travel and its network of travel Suppliers, as applicable.
